Thirteen centres typed a headline figure straight into the “Total Enrolment” column and left the programme breakdown blank — overwriting the SUM formula in that cell. Head office rolls up from the breakdown columns, so those students never reach the OVERALL STATS sheet. The college reports 2,095 students for August. Its own district sheets contain 4,713.
The thirteen returns that vanish upstairs
Pulled directly from STATISTICS_FOR_AUGUST_2025.xlsx. In a system where the total is derived rather than typed, none of these rows can exist.
Enrolment against operational target
Solid teal is what reached the provincial report. Hatched amber is what the district sheets recorded but the roll-up dropped.
Returns received by district
The view head office currently reconstructs by opening each workbook and phoning the districts that are late.
Programme mix, August 2025
Female and male headcount by programme, as reported. Occupational and short skills recorded zero enrolments across all five districts.
Against the 2025/26 APP output indicators
Annual targets from the OVERALL STATS sheet, measured against the August position. One query — no new spreadsheet.
Build a view
Pick a measure, a breakdown and a chart. Every combination below is one query against a single table — this is what “add more stats later” means in practice. Nobody builds a new spreadsheet tab.
Monthly return — Rutegang CLC, Motheo
The 2026 template as a form. There is no “total” field to type into: the total is derived from the breakdown, every time. This is the single change that makes the thirteen rows on the Reconciliation tab impossible.
Prototype seeded with the real August 2025 figures from
STATISTICS_FOR_AUGUST_2025.xlsx and the field structure of the 2026 monthly template.
Aggregate headcounts only — no learner personal information.
